Terms of Use

Aria is designed to help pet owners organize, store, review, and better understand information concerning their pets. It provides tools for keeping veterinary medical records, laboratory results, medication information, and other pet-health information in one place, along with tracking tools and educational content.

The application may use artificial intelligence (AI) to summarize or explain information that you upload or record. Any AI-generated output is an informational aid only, as described below.

The Service is intended to function as a personal organizational tool for pet owners. Users may choose to upload copies of their pets’ veterinary records and other pet-health information so that they can organize and review those materials in one place.

Uploading information to the Service does not replace the official veterinary medical record maintained by a veterinarian or veterinary clinic.

Users should continue to obtain and retain official veterinary records from their veterinary providers as appropriate.

The Service does not assume responsibility for maintaining the official veterinary medical record of the user’s pet.

Unless expressly stated otherwise, the Service does not provide veterinary medical care, diagnosis, treatment, or ongoing clinical management.

Uploading a copy of a veterinary record to the Service does not transfer ownership or custody of the original veterinary medical record from the veterinary practice or veterinarian that created it.

The Service stores information for the user’s personal organizational purposes.

The Service should not be relied upon as the sole repository of a pet’s official veterinary medical record.

Aria is not a veterinary practice management system, an electronic medical record system for veterinary clinics, or a substitute for a veterinary hospital’s medical records, and information stored in the application should not be represented as the official medical record of a veterinary practice unless a separate veterinary service explicitly establishes such a recordkeeping relationship.

The application is not a substitute for veterinary examination, diagnosis, treatment, or professional veterinary advice.

Use of the application does not replace your regular veterinarian.

You should consult a licensed veterinarian regarding diagnosis, treatment, medications, changes in treatment, or any other important medical decision concerning your pet.

AI-generated information is not automatically reviewed or approved by a veterinarian.

• AI-generated information may contain errors, omissions, inaccuracies, outdated information, or inappropriate recommendations.
• You must independently verify important medical information with a licensed veterinarian.
• The application does not guarantee the accuracy, completeness, or suitability of AI-generated information.

We do not describe AI-generated content as “veterinarian approved,” “veterinarian verified,” or “clinically reviewed” unless that specific content has actually been reviewed by a licensed veterinarian, and we ask you not to treat it as such.

The application is not an emergency veterinary service. You must not rely on the application to assess or manage veterinary emergencies.

If your pet has difficulty breathing, severe bleeding, collapse, seizures, suspected poisoning, severe trauma, loss of consciousness, or another potentially life-threatening condition, seek immediate in-person veterinary care. Attend a 24/7 emergency veterinary hospital when appropriate.

Do not wait for an AI response, an administrator response, or any application response before seeking emergency care.

• Nothing in the application should be read as implying that the administrator or veterinary team reviews every AI response.
• The administrator does not routinely review every user’s records or every AI-generated summary.
• AI-generated content is not described as “veterinarian approved,” “veterinarian verified,” or “clinically reviewed” unless that specific content has actually been reviewed by a licensed veterinarian.

Use of the application alone does not establish a veterinarian-client-patient relationship between you and any veterinarian associated with the application. A veterinarian-client-patient relationship arises only through a separate, explicit professional arrangement (for example, a booked and confirmed consultation).

The application does not provide veterinary medical treatment.

You may upload and store copies of information concerning your pets, including:

• Veterinary medical records
• Laboratory results
• Diagnostic reports
• Imaging
• Photographs
• Medication information
• Treatment histories
• Vaccination information
• Insurance information
• Other information concerning your pets

Uploaded records may contain personal information belonging to you, the pet owner (for example, your name, address, or contact details appearing on clinic paperwork). Please review documents before uploading them.

Uploaded information has one of two clearly displayed access states:

The application clearly displays the current sharing status of every uploaded document, and you can change the sharing status of your records at any time through the sharing controls provided on the record itself. Sharing always requires an affirmative action on your part; records are never shared automatically.

If you change a record from SHARED back to PRIVATE, it will no longer be available to the administrator/veterinary team through the application’s normal sharing interface. However, information already viewed, copied, downloaded, exported, or otherwise retained by an authorized recipient cannot be technically recalled. This limitation is described further in the Privacy Policy.

You are responsible for:

• Providing accurate information to the best of your ability
• Reviewing the records you upload
• Maintaining the security of your account
• Keeping your login credentials confidential
• Seeking veterinary care when appropriate
• Verifying important medical information with a licensed veterinarian
• Obtaining and retaining official veterinary records from your veterinary providers

If you delete your account, your pet profiles, uploaded records, messages, and AI conversation history are deleted from the active application database. However, we do not promise immediate and permanent deletion in all circumstances:

• Information may persist in encrypted backups for a limited period (up to 90 days) before being permanently removed.
• We may retain certain information where required by law or for legitimate purposes such as fraud prevention, dispute resolution, or financial record-keeping (for example, payment records processed through our payment provider).

The application relies on third-party technology providers for hosting, storage, authentication, AI processing, payment processing, email delivery, and other functionality. This includes the Base44 platform (which hosts the application and stores data on US-based servers), AI providers engaged by the platform, Stripe (payment processing), and email delivery services.

Your information may be processed by these third parties on our behalf as described in the Privacy Policy. We do not state or imply that your data is never processed by third parties.

Reasonable safeguards are used to protect information, including industry-standard encryption and access controls. However, no internet-connected system can guarantee absolute security, and you use the application at your own risk.

If these Terms are materially changed, we will increment the version number shown at the top of this document and notify you in the application (and by email where available). The application’s previous versions are recorded.

Existing users will be required to review and accept the new version through a consent prompt before continuing to use the affected portions of the application. Continued use alone is not treated as acceptance of a materially changed document.
